What to Include

+

Full name with title

Dr for physicians. Mr/Ms/Mrs for surgeons (UK convention). Include post-nominal letters: MBBS, MRCP, FRCS, PhD etc. List only the most relevant — not every qualification earned.

Professional title and specialty

'Consultant Cardiologist', 'Registrar in Emergency Medicine', 'Staff Nurse — ICU'. Match the title used in your Trust's staffing records.

Registration number

GMC number (doctors), NMC PIN (nurses/midwives), GPhC number (pharmacists), HCPC number (allied health). Format: 'GMC No. 1234567'.

Trust / practice / organisation

Full NHS Trust name or GP practice name. For locum or agency staff, include the Trust you're currently placed at and your agency if applicable.

Department

Critical in large hospitals where multiple departments share similar roles. 'Department of Cardiology, Floor 3, Main Building' helps recipients locate you.

Contact number

Secretary number for consultants. Bleep number or direct extension for registrars. Ward number for nursing staff. Never personal mobile in NHS signatures.

Clinical disclaimer

Required by most NHS Trusts: 'This email should not be used for urgent clinical matters. If you require urgent medical advice, please contact [switchboard/999/111].' One to two sentences.

What to Avoid

  • xPersonal mobile number — use Trust-provided contact numbers only
  • xClinical advice in the signature itself (e.g. health tips, links to medical resources)
  • xPersonal social media links — LinkedIn is acceptable; Instagram and Twitter are not standard for clinical staff
  • xHeadshot photos — unusual in NHS clinical email signatures and can raise patient boundary concerns
  • xEvery qualification you hold — list the 2-3 most relevant post-nominals, not your entire CV
  • xMarketing banners or promotional content — inappropriate in clinical correspondence
