Corporate Email Signature
Corporate email signatures serve three functions simultaneously: professional identity for the individual, brand representation for the company, and legal compliance under Companies Act and industry regulations. Getting all three right — and maintaining consistency across hundreds or thousands of employees — requires a standards document, a template, and an enforcement mechanism.

Individual (varies per employee)

Industry-Specific Regulatory Requirements
Financial services (FCA regulated)
FCA registration number and a statement that the firm is authorised and regulated by the Financial Conduct Authority. The firm name must match the FCA register exactly. Performance claims and guarantees are prohibited in signatures.
Legal (SRA regulated solicitors)
'Authorised and regulated by the Solicitors Regulation Authority' plus the SRA number. If the firm is an LLP, LLP registration number is required. Individual solicitors may include their personal SRA number.
Healthcare (NHS)
GMC number for doctors, NMC number for nurses. NHS Trust or GP practice name. A statement that email is not appropriate for urgent clinical matters. No clinical advice should be given via email.
Estate agents (England)
Membership of an approved redress scheme (The Property Ombudsman or Property Redress Scheme). Under the Estate Agents (Redress Scheme) Order 2008, membership must be disclosed in client communications.
Charities
Registered charity number. 'Registered charity in England and Wales' (plus number) on all external communications. Required by the Charities Act 2011.
Deploying Signatures Across a Company
Self-service with template
2–50 employeesProvide a SignForge-generated template. Each employee pastes it into their email client and updates their personal fields. Works at small scale. Breaks down when employees customise inconsistently or don't update after rebrands.
Shared HTML file
10–100 employeesIT distributes a pre-filled HTML file per role template. Employees install once. Harder to update centrally — requires re-distribution on every change. Tools like Crossware or HTMLSIG simplify this.
Server-side injection (enterprise)
100+ employeesTools like Exclaimer, Newoldstamp, or CodeTwo inject signatures via Microsoft 365 transport rules or Google Workspace routing. Every outbound email gets the correct signature appended server-side. The employee never sees it while composing — it appears on the sent/received email. Advantages: guaranteed consistency, no user action required, central updates propagate instantly.
