How to Change Email Signature in Outlook

How to Change Email Signature in Outlook (Windows)

Go to File > Options

Open Outlook. Click File in the top left, then click Options at the bottom of the left panel.

Navigate to Mail > Signatures

In the Options window, click Mail in the left sidebar. Then click the Signatures… button (under the “Compose messages” section).

Select Your Signature

In the Signatures and Stationery window, you'll see your saved signatures listed on the left. Click the signature you want to change.

Edit the Signature Content

The signature content appears in the editing area on the right. Make your changes directly, or replace everything by pressing Ctrl+A to select all, then paste your new signature from SignForge (Ctrl+V).

Save Your Changes

Click Save (next to the signature name), then click OK to close the Options window. Your updated signature will appear in all new emails immediately.

How to Change Email Signature in Outlook (Mac)

Open Outlook Preferences

In the menu bar, click Outlook Preferences (or press Cmd + ,).

Click Signatures

In the Preferences window, click Signatures.

Select and Edit

Select your signature from the list on the left. The content appears in the right panel. Make your changes directly or paste a new signature from SignForge.

Close to Save

Close the Signatures window. Your changes are saved automatically.

How to Change Email Signature in Outlook Web (OWA)

Outlook web (outlook.com or your company's OWA) has its own signature settings. Changes here do not affect the desktop app.

Click the gear icon in the top right of Outlook Web, then click View all Outlook settings.

Go to Compose and Reply

Select Mail Compose and reply.

Edit Your Signature

Find the Email signature box. Click inside and make your edits, or paste your updated signature from SignForge.

Save

Click Save at the top of the settings panel.

How to Change Email Signature in Outlook Mobile App

Open App Settings

Tap your profile photo in the top left corner of the Outlook app.

Tap the Gear Icon

At the bottom of the sidebar, tap the settings gear.

Find Signature

Scroll down to your email account section and tap Signature.

Edit and Save

Update your signature text and tap the back button — the app saves automatically.

Troubleshooting: Outlook Signature Not Updating?

Signature changes not appearing in new emails

Make sure you clicked OK (not Cancel) to close the Options dialog. Also check that the signature is set as default under 'Choose default signature'.

Old signature still showing after editing

Close and reopen Outlook. If using OWA, try clearing browser cache and reloading.

Pasted signature lost its formatting

Ensure Outlook is composing in HTML mode (not Plain Text). Go to File > Options > Mail and set 'Compose messages in this format' to HTML.
